The Institute for Restorative Reproductive Medicine (“us”, “we”, or “our”) operates The Institute for Restorative Reproductive Medicine website (the “Service”). When visitors leave comments in our Forums area we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.  An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/.  After your consent (approval), your profile picture is visible to members in the context of your comment, post, and member profile if selected.  You always can choose what information you display to other members.  For users who register on our website, we store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. This information is protected and stored locally in the website’s database.

Log Data

We collect information that your browser sends whenever you visit our Service (“Log Data”). This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, browser type, browser version, the pages of our Service, the time and date of your visit, the time spent on those pages and other statistics.

Cookies

Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a website and stored on your computer’s hard drive. We use “cookies” to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. On our site, you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment and speed up access in member areas of the website. These cookies will last for one year. If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

 

Membership & Accounts: What personal data do we collect and why we collect it

We collect information about you during the signup process as well as some basic activities such as the dates you make purchases, login to the site, or cancel/pause/resume your subscriptions with us.

What we collect and store

When you subscribe with us, we’ll ask you to provide an email address as well as additional account information you choose to provide.

We’ll use this information for purposes, such as, to:

  • Send you information about your account and subscriptions. This may include payment receipts, password reset emails, and payment reminders.
  • Create your membership account
  • Connect and suggest providers/clinic and resources to patients (if patient contact information is provided at registration or in your account profile)
  • Create a page listing of your practice if you are registering as a recognized RRM Clinican

How long we retain your data

We store information about you for as long as your account exists. All data is deleted upon request or on deletion of your account.

Who on our team has access

IIRRM trustees and members of our secretariat team have access to the information you provide us. For example, the secretariat and trustees:

  • Order information such as your membership subscriptions, payment dates and amounts, and username / email address.

Any additional information added in your Member Profile can also be visible to the Administrator(s).

What we share with others

We do not share member or account information with third parties and other groups without consent. If a group, including from membership request information from IIRRM we will email or contact you before sharing any email or other contact information. Information is shared to third party platforms to allow for certain services which include Mailchimp and Mailpoet for emailing newsletters and other information.

Payments

PayPal 

We accept payments through PayPal and stripe. When processing payments, some of your data will be passed to PayPal or stripe, including information required to process or support the payment, such as the purchase total and billing information. Woocommerce

We collect information about you during the checkout process on our store.

While you visit our site, we’ll track:

  • Products you’ve viewed: we’ll use this to, for example, show you products you’ve recently viewed
  • Location, IP address and browser type: we’ll use this for purposes like estimating taxes and shipping
  • Shipping address: we’ll ask you to enter this so we can, for instance, estimate shipping before you place an order, and send you the order!

We’ll also use cookies to keep track of basket contents while you’re browsing our site.

When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and optional account information like username and password. We’ll use this information for purposes, such as, to:

  • Send you information about your account and order
  • Respond to your requests, including refunds and complaints
  • Process payments and prevent fraud
  • Set up your account for our store
  • Comply with any legal obligations we have, such as calculating taxes
  • Improve our store offerings
  • Send you marketing messages, if you choose to receive them

If you create an account, we will store your name, address, email and phone number, which will be used to populate the checkout for future orders. We generally store information about you for as long as we need the information for the purposes for which we collect and use it, and we are not legally required to continue to keep it. For example, we will store order information for 5 years for tax and accounting purposes. This includes your name, email address and billing and shipping addresses.

If you register a recurring subscription, you we store that information with Stripe or Paypal which process the subscription payments.

What we collect and store

For the purposes of processing recurring subscription payments, we store the customer’s name, billing address, shipping address, email address, phone number and credit card/payment details.

Event, Venue, and Organiser Information (If you provide it to us or submit it for advertising)

If you create, submit, import, save, or publish Event, Venue, or Organizer information, such information is retained in our local database:

  1. Venue information: name, address, city, country, province, postal code, phone, website, geographical coordinates (latitude and longitude)
  2. Organiser information: name, phone, website, email
  3. Event information: website, cost, description, date, time, image

Importing Events, Venues, and Organisers:

  1. All data present within a CSV or ICS file and external URLs (for events, venues, organisers, and tickets)
  2. Import origin data (URL from where events are being imported)
  3. Ticket information: name, description, cost, type, quantity

API Keys

We make use of certain APIs, in order to provide specific features.

These APIs may include the following third party services: Google Maps (API key), Meetup (OAuth token), PayPal (email, Client ID, Client Secret), Eventbrite (API key, auth URL, Client Secret), and Zoom (email, Client ID, Client Secret).

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support you.
